Position Summary
The Junior Administrative Assistant provides essential administrative and clerical support to ensure efficient day-to-day operations. This entry-level role is ideal for someone detail-oriented, organized, proactive, and eager to grow. The assistant will help with scheduling, documentation, internal communication, and general office coordination while supporting various departments as needed.
Key Responsibilities
- Provide general administrative support, including filing, data entry, scanning, and document management.
- Assist with scheduling meetings, coordinating calendars, and preparing basic reports or presentations.
- Manage incoming calls, messages, and emails, ensuring timely responses or proper routing.
- Support onboarding processes by preparing documents, collecting employee information, and maintaining records.
- Assist in organizing team events, trainings, and internal communications.
- Maintain an organized digital and physical filing system.
- Collaborate with other departments to support workflow and administrative needs.
- Perform special tasks or small projects assigned by management.
- Uphold confidentiality and professionalism at all times.
Qualifications
Required:
- High school diploma or equivalent; associate's degree preferred.
- 0–1 year of experience in administrative or customer service roles (internships acceptable).
- Strong organizational and multitasking skills.
- Good communication skills (written and verbal).
- Proficiency with Microsoft Office or Google Workspace.
- Ability to learn quickly and follow procedures accurately.
- Strong attention to detail and reliability.
Preferred:
- Bilingual (English/Spanish) is a plus.
- Experience working in fast-paced environments.
- Basic knowledge of office administration or HR processes.
