Administrative Support Specialist
to support our real estate operations and sales process.

This role is essential to keeping our business organized, responsive, and running smoothly behind the scenes while our leadership team focuses on client relationships and growth.

What You'll Do

Administration

  • Manage day-to-day office operations and administrative tasks
  • Handle bill payments, receipts, reimbursements, and basic expense tracking
  • Maintain organized digital and physical filing systems
  • Monitor office inventory (camera equipment, signage, promotional materials, supplies)

Sales & Client Support

  • Support the sales process from lead intake through closing
  • Schedule discovery calls, follow-ups, and meetings
  • Prepare client packets, property information, and documentation
  • Keep CRM updated with leads, notes, and deal stages

Property Research & Coordination

  • Gather and maintain up-to-date information on available projects and pricing
  • Assist with property searches based on client criteria
  • Organize property files, contracts, and supporting documents
  • Submit documents to lawyers, notaries, and developers as needed

Transactions & Follow-Up

  • Support administrative steps once a client moves forward with a purchase
  • Track required documentation and ensure files are complete and on time
  • Coordinate between clients, legal teams, and developers

Marketing & Engagement Support

  • Help manage contact lists and campaign organization

Site Visits & Logistics

  • Coordinate site visits, appointments, and transportation
  • Assist with on-site visits

Who We're Looking For

  • Fluent English
  • Highly organized and detail-oriented
  • Strong communication skills (written and verbal)
  • Comfortable managing multiple tasks and deadlines
  • Tech-savvy (CRM systems, email platforms, Google Workspace, Workflows)
  • Professional, reliable, and client-focused
  • Real estate, legal, or administrative experience is a plus
  • Based in Santo Domingo
