Job Summary

ZTE is seeking a highly organized and proactive Administrative Assistant to join our Dominican Republic office. This role is central to our daily operations, bridging the gap between our local administrative needs and our international team. The ideal candidate will manage financial workflows (billing/payments), provide high-level executive support, and facilitate smooth communication with our Chinese personnel.

Main Responsibilities

  • Financial Administration:
    Execute end-to-end billing processes, manage accounts payable, process employee reimbursements, and ensure all financial paperwork is submitted accurately and on time.
  • Expat & Executive Support:
    Lead the search for suitable housing for incoming executives, assist with relocation logistics, and provide on-site concierge-style support for visiting international staff.
  • Document & Compliance Management
    : Maintain a rigorous filing system for contracts, legal documents and paperwork to ensure audit readiness.
  • Procurement Assistance:
    Support the procurement lifecycle, from identifying vendors to tracking deliveries and processing supplier invoices.
  • Cross-Cultural Liaison:
    Act as a key point of contact for Chinese personnel, assisting with local administrative hurdles and ensuring clear communication across the team.
  • General Operations:
    Oversee office supplies, coordinate meetings, and handle other ad-hoc administrative tasks as required by the leadership.

Qualifications & Skills

  • Education:
    Bachelor's degree in Business Administration, Finance, International Trade, or a related field.
  • Languages:
    Spanish, English: Advanced/Fluent (required for professional correspondence). Chinese is a plus
  • Experience:
    2+ years in an administrative or office management role. Experience in the Telecommunications or Tech sector is a significant plus.
  • Technical Skills:
    Proficient in Microsoft Excel (for billing/tracking) and office management software.
  • Soft Skills:
    Exceptional attention to detail, ability to multitask under tight deadlines, and high cultural sensitivity.
